Manager – Operations

Position Overview:

The Manager – Operations plays a critical role in providing comprehensive support to the Director of Operations and the broader operational team. This position entails overseeing various aspects of operational support, including administrative functions, resource management, and process optimization. The Manager of Operation Support collaborates closely with internal teams to ensure seamless operational efficiency and contributes to strategic decision-making processes.

Key Responsibilities:

  • Collect and analyze operational data to identify trends, patterns, and performance metrics.
  • Generate reports and dashboards to provide insights into operational performance and inform decision-making.
  • Present findings to the Director of Operations and other stakeholders, recommending actionable strategies based on data analysis.
  • Identify potential risks and challenges that may impact operational efficiency or effectiveness.
  • Help in developing contingency plans and mitigation strategies to address operational risks and ensure business continuity.
  • Monitor compliance with regulatory requirements and internal policies to minimize legal and reputational risks.
  • Monitor the allocation and utilization of resources, including personnel, equipment, and facilities.
  • Monitor inventory levels and procurement processes to ensure adequate supply of necessary materials.
  • Optimize resource utilization to maximize operational efficiency and minimize costs.
  • Identify opportunities for process improvement and efficiency enhancement within operational workflows.
  • Monitor the implemented strategies to streamline procedures and eliminate bottlenecks in operational processes.
  • Collaborate with cross-functional teams to standardize best practices and promote continuous improvement.
  • Manage administrative tasks such as scheduling meetings, organizing travel arrangements, and maintaining records.
  • Prepare and distribute internal communications, including memos, reports, and presentations.
  • Serve as a liaison between the Director of Operations and other departments, facilitating communication and coordination.

Qualifications and Skills:

  • Master’s degree preferably in Public Health, Business Administration, or a related field.
  • Proven experience in operations support roles, with a minimum of 5 years in a managerial capacity.
  • Strong analytical and problem-solving skills, with the ability to interpret complex data and make informed decisions.
  • Excellent organizational and time management abilities, with a keen attention to detail and accuracy.
  • Proficiency in project management methodologies and tools, with experience leading process improvement initiatives.
  • Exceptional communication and interpersonal skills, with the ability to collaborate effectively across all levels of the organization.
  • Familiarity with relevant software applications, including Microsoft Office Suite and project management software.
