GENERAL PURPOSE
The purpose of this position is provide assistance to Administration Team for tasks related to Housekeeping, Assets and inventory management.
KEY RESPONSIBILITIES
Maintain proper hygiene at Regional Office and its associated Stations.
Visit to assigned Region Stations (Bhambore Region) as and when required.
Assist in general administration of Regional Office, disposal area, and meeting rooms.
Prepare event & meeting requisitions with user departments and assist in event’s planning and meetings.
Coordinate with support staff supervisor for implementation of smooth deployment plans.
Ensure proper usage of Crockery, Grocery, Stationary & Cleaning Items and maintain their records
Deputation of Vehicles & Maintain its log to manage driver’s overtime.
Stations visit to address complaints related to hygiene, janitorial matters, groceries and manage Assets as per requirement.
Manage Admin Help Desk pertaining to its assigned region and stations to close requests timely.
Perform any tasks assigned by the Line Manager in alignment with the individual’s capabilities and the organization’s requirements
Data Coordination & Follow-Up:
Follow up with admin team members to ensure the timely submission and provision of required data.
Coordinate with relevant teams to gather updates, reports, and information within established deadlines.
Interdepartmental Coordination:
Coordinate with interdepartmental teams to ensure documentation is completed, updated, and maintained in alignment with organizational SOPs.
Support departments in meeting documentation and compliance requirements.
Record & Documentation Management:
Maintain and update administrative records, logs, and documentation systematically and accurately.
Organize and manage filing systems and documentation under the guidance of the line manager.
Audit Support & Compliance:
Assist the line manager in ensuring audit compliance by preparing required documents and verifying adherence to audit standards.
Support compliance with SOPs by monitoring documentation practices and identifying gaps for corrective action.
Reporting Assistance:
Support in preparing administrative reports, summaries, and presentations as required.
Managerial Support:
Qualification: Bachelor’s degree in Business Administration, Public Administration, Management, or a relevant field
Experience: 3- 5 years of experience in administrative operations, or compliance documentation
Age Requirement: Min. 22 years
Gender: Male / Female
