GENERAL PURPOSE:
A detail-oriented and organized professional to support facility operations, general administration, security coordination, and documentation for SOP compliance. The role involves maintaining records, preparing reports, and ensuring adherence to established standard operating procedures (SOPs) across departments. The ideal candidate will also assist in monitoring routine operations and following up on compliance gaps in admin and facility-related functions.
Key Responsibilities:
Facility Management & General Administration
Prepare documents related to task ( ISO Compliance)
Maintain records of office utilities, supplies, repairs, and facility-related expenses
Track (Annual Maintenance Contracts), service renewals, and vendor SLAs
Security Coordination
Maintain logs of security incidents and report.
Ensure visitor and staff access policies are documented and implemented
Assist in compliance with workplace safety and emergency procedures
Documentation & SOP Compliance
Prepare and maintain documentation in line with organizational SOPs
Ensure all administrative processes (e.g., facility requests, security checklists, access logs) are properly documented and filed
Track compliance with internal SOPs: highlight gaps, follow up with departments for corrective actions
Maintain d physical documentation archives in an organized, retrievable manner
Support audits and internal reviews by providing required documentation on time
Assist in revising and updating SOPs when procedures or systems change
Data Reporting & Analysis (Admin-related)
Maintain and update logs for admin KPIs (e.g., downtime, incident reports, asset usage, service delays)
Generate periodic reports for management on compliance, facility status, and support tickets
Maintain dashboards or trackers for tasks, maintenance schedules, renewals, and compliance gaps
Qualification: Bachelor’s degree in Business Administration, Public Administration, Management, or a relevant field
Experience: 2–4 years of experience in administrative operations, facility management, or compliance documentation
Age Requirement: Min. 22 years
