General Purpose

The Fleet Coordinator is responsible for the day-to-day coordination of the ambulance fleet, ensuring vehicles are available, roadworthy, and deployed efficiently to support uninterrupted emergency response operations. The role acts as the operational link between the Fleet Manager, drivers, maintenance teams, and Operations department to keep on-road status accurate and vehicle downtime to a minimum.

Key Responsibilities

  • Coordinate daily vehicle deployment schedules in line with Operations department requirements and station-wise demand.
  • Track and reconcile fleet “on-road” status between Fleet and Operations records, escalating discrepancies promptly.
  • Maintain accurate, up-to-date records of vehicle mileage, fuel consumption, servicing history, and documentation.
  • Liaise with workshop/maintenance staff to schedule preventive maintenance, repairs, and inspections with minimal disruption to operations.
  • Monitor driver attendance, shift rosters, and vehicle allocation; flag shortages or conflicts to the Fleet Manager.
  • Support incident reporting for accidents, breakdowns, and coordinate follow-up actions.
  • Ensure compliance with SIEHS SOPs, safety regulations, and statutory requirements.
  • Prepare and submit periodic fleet status, utilization, and downtime reports to the Fleet Manager.
  • Coordinate stock levels of fleet-related consumables (fuel, tyres, spare parts) with relevant departments.
  • Assist in fleet audits, inspections, and corrective action follow-ups as required.
  • Perform any other duties assigned by the Fleet Manager relevant to fleet coordination and operations.

Working Conditions

  • May require flexible hours or on-call availability to support 24/7 fleet operations.
  • Occasional travel to district or field stations for fleet inspections and coordination.

Qualification: Bachelor’s degree in Business Administration, Logistics, or a related field.

Experience (Mandatory): 2–4 years of experience in fleet, transport, or logistics coordination, preferably in an emergency service or healthcare setting.

Training/Courses : Proficiency in MS Office (Excel in particular) and fleet management/tracking software.
